Privacy Policy — ICOOL Receptionist App

Lễ Tân (“the app”) is an internal business tool for reception staff of CÔNG TY TNHH THƯƠNG MẠI DỊCH VỤ ẨM THỰC ICOOL (“ICOOL”, “we”, “us”). It is used to manage room reservations, room status and reception notes at ICOOL karaoke venues.
The app is not intended for the general public. Access requires an account issued by an ICOOL administrator.
This policy explains what data the app collects, why, and what your rights are.
1. Data we collect
1.1 Staff account data

1.2 Device data (for push notifications only)

The app does not read IMEI, serial numbers, advertising identifiers (IDFA/AAID), or any other tracking identifier.
1.3 Customer data entered by staff
When a staff member creates or edits a reservation, the app transmits the following to ICOOL servers: customer name, phone number, gender, reservation notes and referral code. ICOOL is the data controller for this business data.
Room notes are cached temporarily on the device so staff can refer to them during a shift. This cache is deleted automatically when you sign out or deactivate your account.
2. What we do not collect
The app does not access or collect:
- Location data
- Camera, microphone, photos or media library
- Contacts, calendar or messages
- Advertising identifiers (IDFA / AAID)
The app contains no third-party analytics, advertising or tracking SDKs — no Google Analytics, Firebase Analytics, Crashlytics, Facebook SDK, AppsFlyer or similar.
We do not sell, rent or share your data with third parties for advertising purposes.
3. Third-party services
The app uses Firebase Cloud Messaging (Google) solely to deliver push notifications. To operate this service, Google may receive a technical installation identifier. See Google’s privacy information: https://firebase.google.com/support/privacy
All other data is processed on servers operated by ICOOL.
4. Security
All communication between the app and our servers uses HTTPS/TLS encryption. Your session token is removed from the device when you sign out, when the session expires, and when your account is deactivated.
5. Data retention
- On-device data: erased when you sign out or deactivate your account.
- Server-side data: retained in accordance with ICOOL’s internal retention policy and applicable accounting and tax obligations under Vietnamese law.
6. Account deletion
You can deactivate your account directly within the app:
Open the left navigation drawer → tap “Vô hiệu hoá tài khoản” (Deactivate account) → confirm.
Once completed:
- The account is deactivated and can no longer be used to sign in.
- The session token, push notification token and locally cached notes are erased from the device.
- Reservation records already created are retained as business records, since they constitute company transaction data rather than staff personal data.
To restore an account, or to make a deletion request beyond the scope described above, contact us using the details in section 8.

You may request access to, correction of, or deletion of your personal data, and you may raise concerns about how your data is processed. Contact us using the details below to exercise these rights.
